Project Assistant

GIZ International Services (InS) is the company’s business department offering services to international clients such as the European Commission.We are currently looking for a Project Assistant (m/f/d), who will be actively involved in the acquisition and implementation of EU-funded projects within the framework of the EU Chemical, Biological, Radiological and Nuclear (CBRN) Risk Mitigation Centres of Excellence (CoE) Initiative.The position is available for starting as soon possible for 42 months. The workplace will be Belgium (Brussels), GIZ offers a Belgian employment contract (full time). Business travel to Germany and partner countries might be required.

Your tasks:

Project implementation:Technical and Operational Assistance

• Overall support for the implementation of the project (administrative and contractual matters, technical support).
• Support the implementation of project activities, such as workshops, capacity-building sessions, or field visits, facilitating coordination between the TL and GIZ Country Offices.
• Assist experts with technical tasks, such as data collection, analysis, and preparing presentations
• Organise travel arrangements for project staff, experts, and stakeholders; provide support to project teams on site.
• Coordinate meetings, workshops, and events, including scheduling, venue setup, and participant communications (incl. for the Project Steering Committee).
• Support the identification and selection of non-key experts, in collaboration with the HR recruitment team, and supervises their missions.
• Troubleshooting as well as mitigation strategies development in case of project issues.

Financial support, quality control and compliance:

• In cooperation with the Finance Manager, monitoring and follow up on invoices, ensuring that audit relevant information is available
• Assist in the preparation of financial reports and ensuring proper documentation of expenditures.
• Ensure all financial transactions comply with EU financial regulations and guidelines
• In cooperation with the Procurement Manager, coordination, monitoring and following up of contracts with experts ensuring that all relevant information is available
• Manage project supplies and equipment procurement.
• Handle documentation, filing, and record-keeping to ensure compliance with EU requirements and with communication & visibility guidelines.
• Ensures that projects operational procedures are understood and applied by Consortium members and resource partners
• Ensure compliance with EU guidelines and procedures during project execution, such as procurement rules, environmental standards, or gender equality policies.

Monitoring & Evaluation

• Support the team in maintaining project monitoring tools, such as activity logs, performance metrics, and reporting templates
• Support in the preparation of project progress monitoring, including financial and technical reports including gathering data and inputs from various project stakeholders.
• Ensure all reports and documentation comply with EU requirements for transparency and accountability.

Project Coordination and Communication

• Support effective, day-to-day communication between the Project Manager, national experts, partner countries, and stakeholders, including drafting correspondence, reports, and presentations.
• Support the preparation of communication and visibility materials, in line with EU & CBRN guidelines.
• Translate documents/materials from English to French and vice versa, including for the organisation of workshops and trainings.

Project acquisition:

• Screen EU -funded CBRN business opportunities
• Support early opportunities intelligence, assessment and establishment of contacts with potential consortium partners
• Support the preparation of Letters of Interest and the conceptual and methodological development of technical offers in line with tender specifications
• Support in the identification and selection of experts and bid-writers, in collaboration with the HR recruitment team.

The position requires continuous engagement in GIZ internal exchanges to promote knowledge sharing and ensure GIZ representation in and outside the portfolio.Occasionally international business trips are required.All tasks will be performed under the supervision of the Portfolio Managers and in close collaboration with the extended team of Project Managers.

Your profile:

• At least a master’s degree in a relevant field, such as International Relations, Political Sciences, Sociology, Economics, Development Studies, or similar;
• At least 2 years of professional work experience in a related field and in a comparable position/with a similar scope of work;
• At least 1.5 years proven experience with EU technical assistance projects, including in business development / tender preparation and in EU project management and backstopping;
• Previous experiences in the management of tenders with logistical components like travel/event management will be considered as an asset.

Other knowledge, additional skills:

• Full IT proficiency (current MS Office, including 365 cloud applications);
• Excellent knowledge (speaking and writing) of English and French;
• Flexible profile, able to work autonomously under high time pressure and workload;
• Intercultural skills, problem-solving minded and with a service-oriented attitude;
• Excellent communication and negotiation skills, and keen on working in a team.

• The position requires a work permit for Belgium, as the location of the work will be Brussels. Only applicants eligible to work in Belgium (already with work permit) will be evaluated.
